The General Terms and Conditions of Planet GV, d.o.o., Likozarjeva ulica 3, 1000 Ljubljana (hereinafter referred to as the Organiser), apply to all educational, professional, and business events organised by the Organiser, such as seminars, workshops, conferences, forums, academies, and other similar formats.
These General Terms and Conditions define the rights and obligations of Participants and the Organiser in relation to registration, attendance, cancellation, and execution of Events.
For the purpose of these General Terms and Conditions, the following terms shall have the meanings set out below:
Organiser | Refers to Planet GV, d.o.o., Likozarjeva ulica 3, 1000 Ljubljana, which organises, manages, and executes educational events, including seminars, conferences, workshops, and other similar formats.
Participant | Refers to any individual person who is registered for and attends an event organised by the Organiser, either in person or online.
Registrant | Refers to the person or organisation submitting the registration for one or more Participants to attend the event. The Registrant may be the same person as the Participant or act on behalf of another person or organisation.
Event | Refers to any educational, professional, or business training activity organised and conducted by the Organiser, including but not limited to seminars, conferences, workshops, academies, and forums.
Pro Forma Invoice | Refers to an advance invoice issued prior to the event, on the basis of which payment is made before participation, unless otherwise agreed.
Payment After the Event | Refers to the option of paying the participation fee after the event has taken place, available exclusively to budget users or public institutions, subject to the receipt of an invoice and confirmation of participation.
Budget Users | Refer to public institutions or other organisations financed from the state or municipal budget, which are entitled to payment after the event in accordance with public finance regulations.
1) Registration, Cancellation, and Payment Terms
This section sets out the conditions for registration and cancellation, the provisions on participation fees, accepted payment methods, and the availability of discounts and special offers.
1.1) Registration and Cancellation of Attendance
Registration for an educational Event must be submitted in writing, via the online registration form or by email.
A registration submitted through the online form is deemed confirmed once the Participant receives a confirmation email.
Cancellations must be made in writing and sent to prijave@planetgv.si.
Cancellation without cause is permitted up to 3 working days before the Event.
For cancellations made 2 working days before the Event, an administrative fee of 30% of the participation fee will be charged.
From the day before the Event onwards, cancellations are no longer accepted and the full fee becomes payable.
Non-payment of the pro forma invoice does not constitute cancellation, and non-attendance does not amount to withdrawal. In both cases, the full participation fee remains payable.
If the Participant opts for payment after the Event at the time of registration, cancellation is no longer available. If the registered person cannot attend, the Registrant may substitute another Participant at no additional cost.
1.2) Participation Fee and Method of Payment
The participation fee and its inclusions are published on the Event website.
Upon receipt of the registration, the Organiser will issue a pro forma invoice, payable within the stated deadline.
The early-bird price applies only if payment is made within 8 calendar days from the date of registration.
By exception, budget users/public institutions may select payment after the Event; in such cases, the early-bird price is determined by the date of registration, even if payment is made later.
A final invoice will be issued no later than a week after the Event, regardless of the selected payment method (payment after the Event, pro forma invoice, or credit card).
In the event of late payment, the Organiser reserves the right to charge statutory default interest.
If the Registrant requires an invoice to include internal references, purchase order numbers, or other special identifiers, these details must be provided at the time of registration. No post-issuance changes to invoices are possible.
1.3) Discounts and Special Offers
Discounts are not cumulative. If you have a discount code, please enter it in the designated field in the registration form.
All other agreed discounts, including group discounts, are applied manually after submission of the registration and must be indicated in the comments field at the time of registration.
A group discount may be granted when registering multiple Participants from the same company or organisation, provided that all Participants are registered at the same time.
If one or more Participants subsequently cancel, the discount amount will be adjusted in line with the current pricing policy.
Separately, for certain Events it is possible to purchase a predefined group registration package (e.g., for 5, 10, or 20 persons). In such cases, the company purchases the entire package at a fixed price, which does not change even if some registered Participants later cancel their attendance.
When purchasing a COMBO participation fee, which includes attendance at two Events within the same series, the fee applies to the calendar year and must be used within the same year.
The COMBO fee is linked to the company, not to an individual; therefore, two different persons from the same company may attend each of the two selected Events.
For full-time students up to and including 26 years of age, a student participation fee is available for most Events.
At the time of registration, please state “STUDENT” in the notes field and send written proof of student status to prijave@planetgv.si.
2) Event Programme and Materials
The Organiser guarantees the implementation of the published programme but reserves the right to make partial content adjustments when necessary to ensure the high-quality delivery of the Event.
Lectures delivered in a foreign language without translation into Slovenian will be clearly indicated and announced in advance in all official programme materials, including the website, printed invitations, and Event schedules.
For Events where the official language is a foreign language (e.g., English), interpretation will be provided only into the languages specifically indicated on the individual Event webpage.
The proceedings, working, or online materials include selected written contributions by speakers who have submitted their materials on time. Contributions by foreign speakers are published in their original language, without translation.
All materials and presentations used during the Event are the intellectual property of the speakers.
Participants will receive consolidated materials no later than one week after the Event, subject to the authors’ prior consent.
If a speaker does not consent to the distribution of their materials, such materials will not be made available to Participants.
All materials and presentations are intended solely for the personal use of Participants and may not be reproduced, distributed, or publicly used without the authors’ written consent.
3) Photography and Recording of Events
The Organiser reserves the right to take photographs and make video and audio recordings of the Event, and to use such materials for promotional purposes.
Participants will be informed about photography and recording prior to the start of the Event or at the Event venue.

4) Accommodation and Parking During the Event
Accommodation during the Event is not included in the participation fee and must be arranged individually by Participants.
The Organiser may provide access to discounted accommodation options through a link published on the Event website.
Participants are also responsible for arranging parking at the Event venue.
The Organiser accepts no liability for parking, unless explicitly stated and provided for in the official Event information.
The Organiser assumes no responsibility for any loss, theft, or damage to Participants’ personal belongings during the Event.
5) Notifications and Newsletters
By submitting the registration, the Participant agrees to be included in the Organiser’s mailing list for informational and promotional purposes.
The Participant may unsubscribe in writing at any time.

6) Changes to Event Date or Venue
The Organiser reserves the right to change the date or venue of the Event for objective reasons or due to force majeure.
Any venue change shall not exceed 15 km from the originally planned location.
7) Event Cancellation
The Organiser may cancel an educational Event due to an insufficient number of registrations, other objective reasons, or force majeure.
In such cases, registered Participants will be notified at least two (2) working days prior to the Event by email or telephone.
All payments already received will be fully refunded or, upon mutual agreement, transferred to another Event within the same calendar year.
8) Dispute Resolution
Any disputes arising from these General Terms and Conditions or from participation in the Event shall be subject to the jurisdiction of the competent court in Ljubljana, Slovenia.
These General Terms and Conditions take effect on 21 May 2025.
